Buddy Punch for small teams: review hours before payroll
A time clock records events. Someone still needs to decide what the record means, resolve missing information and prepare the right handoff. Start by identifying that person and the records your existing process requires.
This guide uses public documentation and a fictional review example. It is not an account test, payroll calculation or employment-law determination.
Choose the missing step
| Your problem | Requirement to define | Existing alternative |
|---|---|---|
| Incomplete start/end records | How a worker reports a correction and who reviews it | A private timesheet with a correction note |
| Several people review hours | Who can view, edit and approve each record | One responsible reviewer and a controlled handoff |
| Work happens away from a desk | Required capture method and unavailable-connection procedure | A dated manual log, reviewed before use |
| Hours must reach another system | Exact period, fields, units and recipient | A reviewed export or manually checked entry |
| Someone wants continuous location data | Whether that additional information is necessary | Use less data when adequate for the job |
Do not purchase more capture features to solve an unresolved approval process.
What the published product describes
Buddy Punch's website describes computer, mobile and kiosk capture, timecards, reports and approval. Its pricing page separates Starter, Pro and Advanced; administrator access, tracked users and optional functions are different units. Plan cards distinguish GPS at a punch from continuous location functionality. A listed feature does not establish every plan or your configuration includes it. [B1–B2]
Check the current plan rather than treating all functions as one package. The captured table contains visual inclusion markers that the text extraction does not fully explain; no entitlement is inferred from a blank cell.
A fictional timecard review
Assume one workday, recorded in minutes, with no rounding. This is review calculation, not a statement of paid time.
| Record | Input | Review treatment |
|---|---|---|
| Complete interval | 09:00 to 17:00 | 480 minutes elapsed |
| Documented break | 30 minutes | Subtract only under this example's stated rule |
| Separate incomplete interval | Start recorded, end missing | Hold duration unknown; do not enter zero |
| Proposed correction | End time awaiting confirmation | Keep proposed and confirmed records distinct |
Under the fictional rule, the complete interval's review portion is 480 − 30 = 450 minutes, or 7.5 hours. Because the other interval is unresolved, 450 minutes is not the complete period total and must not be labelled payroll-ready.
If the example's break is instead included in the chosen review measure, that interval is 480 minutes. The difference is a rule assumption, not evidence an employee should lose 30 minutes. Applicable pay rules, overtime, travel, leave, rounding and contractual treatment require separate determination.
If the same 450-minute row appears twice, counting both produces 900 minutes. Reconcile the duplicate before handoff; a second row is not automatically a second shift.
Keep capture, review and downstream actions separate
Capture → resolve exceptions → reviewer decision → checked handoff
Before relying on an export or integration, verify worker identifiers, period, time units, job labels, corrections and receiving-system requirements. Downloading a report does not prove it was imported or accepted.
Buddy Punch's public pages describe payroll-related functions separately. This guide does not establish payroll availability, eligibility or correct pay treatment for the reader. A reviewed work-hours record is also not a client invoice: billable work, agreed rates and prior billing need their own review.
Count subscriptions and access correctly
Write down the number of time-tracked users, administrator-only people, required permissions, selected billing term and optional functions. The observed pricing page shows a base subscription charge plus per-user charges; do not budget only the headline user rate. Confirm treatment of administrators who also track time, minimums, changes during a period, currency, taxes and annual cash due.
No current subscription amount or annual saving is calculated here. The captured page exposes multiple billing presentations; this guide does not silently assign a toggle state to a final quote.
Keep data collection proportionate
Define what you need before enabling photographs or location collection. Check device access, permission scope, record/export availability and who can alter records. This checklist does not establish legal permission, privacy compliance or security.
Do not upload employee records to MailboxCompare. Use fictional labels while planning.
Before switching
- Describe the failure in the existing process.
- Name the reviewer and correction method.
- Confirm the exact product/plan and billing units.
- Check the actual downstream handoff.
- Check record retention/export and an exit procedure.
Keep an adequate existing timesheet and review process. If a specific gap survives, examine the ordinary official product and pricing documentation. No software purchase is necessary merely because this example exists.
Explore paid time-clock and work-hours software only if a specific capture or review gap remains. Confirm the actual plan, billing and country eligibility with the merchant; this homepage link selects no plan, payroll or add-on.
