FreshBooks for freelancers: clients, projects and invoices

FreshBooks is worth comparing when you need to connect client work, tracked time, expenses and invoicing. Start with the problem you need to solve. An existing spreadsheet, invoice document and dependable payment record may already be enough.

This guide uses published documentation, not a hands-on account test. Its examples are fictional and do not determine what a client owes or how a transaction should be treated for tax purposes.

Choose the job before the plan

Your actual jobWhat to compareAn adequate existing path
Send an occasional straightforward invoiceA reusable invoice document and a way to record sending and paymentKeep your current template and private ledger
Bill agreed hourly work across projectsTime classification, project rates and review before invoicingMaintain a reviewed work log and prepare the invoice manually
Charge a fixed project feeAgreed scope, fee and any separately approved extrasUse the agreed fee; do not turn every tracked hour into another charge
Share work with someone elseActual role, permitted actions and additional-access billingKeep owner-managed billing if collaboration inside the software is unnecessary
Follow up unpaid invoicesDistinguish preparation, sending and payment recordsA private due-date list may be sufficient

FreshBooks documents both hourly and flat-rate projects. For flat-rate projects, tracked time does not by itself increase the agreed project fee. Its project guidance also warns that changing a flat-rate project to hourly does not retroactively make old time entries billable. Confirm the billing method before relying on imported time. 5

Count clients, invoices and people separately

The US and Canadian pricing pages list these client allowances:

PlanPublished billable-client allowanceStill to confirm
Lite5Required features and current regional price
Plus50Whether its additional functions solve your job
PremiumUnlimitedOther limits, additional access and used charges
SelectUnlimitedCustom terms, included access and exact quote

These are client allowances, not invoice counts or team-seat allowances. FreshBooks says active and archived clients count toward the limit. Four active clients plus two archived clients therefore count as six; sending many invoices to the same five clients is a different count. Do not present deleting records as a routine capacity workaround. 1, 2

Invited team access is another decision. FreshBooks documents role-dependent permissions and paid team-member add-ons; contractors have a distinct account arrangement. Check the exact role rather than assuming every collaborator needs identical access or the same charge. Its support guide also says deleting a team member does not itself remove an unused paid seat from the subscription. 3

Review work before turning it into an invoice

Consider this fictional hourly engagement. The assumed rate is USD80/hour; it is the freelancer's example rate, not a FreshBooks charge.

Work-log entryMinutesTreatment in this example
Agreed work, not yet invoiced60Include in the review subtotal
Work already invoiced30Do not bill it again merely because it remains in the log
Nonbillable administration45Exclude under the stated agreement
Extra work awaiting approval30Hold unresolved; do not silently treat it as billable

Total logged time is 165 minutes, but only 60 minutes is currently eligible under these assumptions.

60 ÷ 60 × USD80 = USD80. Add an explicitly approved USD20 expense: the known draft portion is USD100. If the extra 30 minutes is later confirmed billable and uninvoiced, the corresponding portion becomes USD140. Taxes, credits, deposits, disputed amounts and other adjustments are outside this illustration; it is not a complete invoice.

A private billing-review worksheet

Print this page or copy these review points into your private records. This static sheet collects no entries and does not generate an invoice or determine an amount owed.

Blank review checklist: use fictional labels, not names, email or account details
Review pointYour private note
Agreement basis: hourly, fixed fee or unresolvedBlank private note
Confirmed uninvoiced minutes; keep already billed time separateBlank private note
Agreed hourly rate and one currency; unknown means HELD / UNPRICEDBlank private note
Approved uninvoiced expense and its currencyBlank private note
Already billed or nonbillable items: exclusion and reasonBlank private note
Held items: unresolved classification, rate or approvalBlank private note
Unknown adjustments, credits, deposits and disputed amountsBlank private note
Sending / billed status and actual payment evidence: separate recordsBlank private note

An unknown rate or classification is HELD / UNPRICED, not zero. Keep currencies separate; do not invent an exchange rate. Fixed-fee work follows the agreement and separately approved adjustments, not an hourly reconstruction.

Carry forward only a known draft portion with its assumptions and held reasons. Taxes and other unresolved adjustments remain unpriced. A billed or sent item does not establish payment.

FreshBooks' documented invoice-generation workflow can select unbilled time by client, projects and date range, with expense selections and different display formats. Generating the invoice marks included time billed. That is a workflow status, not evidence of payment or client approval. 4

If you agreed a fixed project fee, start from that agreement instead of applying this hourly formula. The time log may still help you understand the work, but it does not establish an extra client charge.

An invoice can be prepared without being paid

Keep the steps visible:

Separate agreement, review, sending and payment evidence
  1. Agreed work
Start with the scope and billing method.
  2. Reviewed time and expenses
Separate confirmed, excluded and held items.
  3. Draft
Check the intended client, period and currency.
  4. Sent
Sending is a separate record from payment.
  5. Payment recorded
    Reconcile the actual payment evidence.

FreshBooks distinguishes draft, sent, outstanding, overdue, partially paid and paid invoices. A sent invoice is unpaid; viewed does not mean paid. Check the actual record rather than treating an invoice amount or a billed time entry as cash received. 6

Before sending, check the intended client, currency, work period, quantities, agreed rates, approved expenses, due date and any adjustments. This is a review checklist, not an invoice-validity or tax-compliance ruling.

What needs checking before payment follow-up?

For one fictional service job, separate an upfront request, a confirmed receipt and a dated unpaid portion. Enter assumptions only: no client names, invoice identifiers, bank details or documents. Nothing is saved, uploaded, sent or charged.

Keep an adequate invoice document, private ledger and calendar. These examples do not establish a legal amount owed, a new software need or permission to start work.

Plan USD300 upfront and USD900 later

USD1200 total = USD300 upfront + USD900 later. No receipt is evidenced.

Hold an unmatched USD200 receipt

Only USD300 is confirmed allocated; a reported USD200 is unmatched. Definitive unpaid and due amounts are held.

Your assumed schedule and receipt checks

Up to12 schedule rows and12 receipts; this form supports two allocations per receipt. Do not duplicate a receipt to represent more allocations: use your existing ledger for larger cases. Dates use the entered calendar day without a grace period or business-day adjustment.

Provider-specific fits and settings remain unconfirmed. Generic calculation is not approval of a FreshBooks or Xero feature.

Documentation to recheck

Retained research was observed November2,2026 and is not admitted for product-specific conclusions. Your business review date cannot refresh that research. Do not build a new recommendation around Checkout Links; check the ordinary notice and current instructions.

FreshBooks affiliation remains pending. Xero commercial scope remains unresolved. These ordinary documentation links grant no plan, processor, country, account or referral eligibility.

Compare the complete subscription decision

Use the official price page for your country. The US page displayed USD amounts and the Canadian page CAD amounts when checked. Do not mix them or assume payment methods and ancillary services are identical.

Record the selected plan, billing period, cash due, later rate, additional team access and any payment-processing or other used charges. Annual billing, a temporary promotion and a trial are different decisions. A trial's available features do not establish what the paid plan you select includes.

No subscription price or promotional saving is calculated here. The observed pages included temporary offers; eligibility, billing selection and renewal need confirmation. Keep an adequate existing workflow if the additional work and cost of switching are not justified by a specific need.

Before you choose

  1. Count the clients that the selected plan actually counts.
  2. Identify who must operate the account and what they may do.
  3. Define hourly versus fixed-fee work and who reviews extras.
  4. Decide which invoice, payment and adjustment records must be checked; leave unexplained differences unresolved rather than assuming a new invoice or subscription resolves them.
  5. List any required reports, their periods and who will review them; confirm the selected product can supply them. Check regional price, full commitment, used charges and how required records can be retained when leaving.
