Pabbly: choose the product, usage limits and workflow you need

Choose a Pabbly product for a defined job, then verify its account, usage and payment conditions. This guide uses retained supplier material reviewed November4–5,2026. It has not tested a Pabbly account, connected an integration or verified a checkout.

Start with the job you need to finish

Pabbly is a family of products. Before comparing a bundle or a payment term, write down the job: moving information between applications, handling WhatsApp conversations, managing subscription billing, collecting form responses or sending email campaigns. These jobs have different usage units and account charge groups. A product name or a suite headline does not establish the features in your selected plan.

For occasional contact updates, a reviewed manual handoff or an existing tool's suitable import function may be enough. Automation becomes worth investigating when the same authorized information must move repeatedly and someone can maintain the connection. Compare the full arrangement: access permissions, required fields, error handling, usage allowances and the records you need to keep. This guide does not require you to buy a product. Check the selected product and plan before attempting the supplier workflow; its free-trial availability and setup cost have not been verified.

Choose a product before choosing a payment term

Use this as a job map, not a promise that every feature is included. The descriptions below come from the retained supplier material checked November 4, 2026.

Manage recurring billing, invoicing and subscription customersPabbly Subscription BillingCheck the selected module, revenue allowance and payment arrangement. A campaign illustration is not a tested checkout or processing-fee quote.
Collect form responsesPabbly Form BuilderVerify the fields, workflow and plan you need; the fair-use section places a starting limit on forms.
Use an event-counted productPabbly HookConfirm the particular event source, handling requirements and event allowance. Its event counter is separate from a Connect task counter.
Send email campaignsPabbly Email MarketingCheck subscriber capacity, sending-server limits and the ramp-up of any built-in sender.

The account also supplies a separate Email Verification destination. Do not assume that this route is included in a particular Plus bundle or proves deliverability, consent or commission eligibility.

The November campaign's Plus list names Connect, Chatflow, Email Marketing, Subscription Billing, Studio, Form Builder, Hook, AgenticAI and Project Management. This establishes the dated advertised bundle list, not entitlement for every future purchase or a complete feature comparison. If your decision depends on Studio, AgenticAI or Project Management, confirm that product's actual limits and required functions before choosing the suite.

Example: a spreadsheet row becomes a contact

Pabbly's November 3, 2026 Connect tutorial illustrates a Google Sheets trigger followed by a Google Contacts Create Contact action. It uses a webhook, maps selected fields from the preceding step, and distinguishes sending existing rows from sending future row events. This is a supplier demonstration, not a workflow tested by MailboxCompare.

Before adopting that arrangement:

In the supplier example, the Sheets webhook sends the row. Leaving a field out of the later Create Contact action does not establish that the field was never sent to the automation service. Use a source containing only information approved for that transfer.

  1. Identify the authorized source spreadsheet and the destination account. Decide which fields should leave the source and which should stay out of the workflow.
  2. Decide whether you need a one-time batch, future events or both. The tutorial's batch and event options do not establish continuous two-way synchronization, deletion handling or all-update behavior.
  3. Review each requested permission against the job and your data requirements. The tutorial's broad security assurance is not an independent security assessment or a reason to grant every permission automatically.
  4. Use suitable non-sensitive test records and inspect the resulting destination. The demonstrated test request creates a contact; it should not be treated as a guaranteed dry run with no write.
  5. Decide how duplicates, invalid fields, failed runs and retries will be detected and handled. The demonstration does not establish these outcomes for your workflow.
  6. Name the person who maintains the connection and the fallback if it stops. Keep a manual process if it meets the same requirement adequately.

This guide does not connect accounts, receive webhook URLs, collect contact data or ask for credentials. It explains a decision and its checks; it does not promise a working integration for every account or plan.

Read the product-specific meaning of “unlimited”

The retained fair-use section attaches concrete limits and reset procedures to several plans marketed as unlimited. These are descriptions of the specific policy, not an allowance for every plan.

Read the product-specific meaning of “unlimited”
specific policyWhat the retained terms sayWhat to confirm before relying on it
Connect unlimited tasksInitially 100,000 tasks; a customer-operated reset is described once per day; one-business scope.Whether the selected plan is covered, how your actions consume tasks, and what happens at the limit.
Chatflow unlimited creditsInitially 100,000 credits; supplier-operated reset described once per day, with performance conditions. A separate paragraph caps connected WhatsApp numbers at 25.Reset availability, quality requirements, number allowance and any applicable external messaging charges.
Subscription Billing unlimited revenueInitially up to $100,000 revenue, followed by a manual reset; one-business scope. The selected offer and billing period. Do not reinterpret this as a verified monthly allowance.
Form Builder unlimited formsInitially up to 500 forms, followed by a manual reset; one-business scope.Whether the forms and features needed are included, and the reset process.
Hook unlimited eventsInitially 100,000 events, followed by a manual reset; one-business scope.Event accounting, failure/retry behavior and the applicable reset process.

Another offer-specific billing paragraph in the same retained terms describes a different monthly revenue cap. Confirm which policy applies to the selected purchase; the table above is not a billing-plan quote.

Email Marketing has its own provisions: an initial 25,000 subscribers with reviewed increases up to 100,000, and a built-in sender starting at 500 emails per day with performance-dependent increases. External SMTP has its own arrangement. Do not treat a maximum possible sending limit as immediate capacity or a delivery guarantee.

Studio, AgenticAI and Project Management have further product-specific caps in the retained terms, including team-size provisions. Check the actual product and selected plan instead of applying another app's team-member wording across the suite. A campaign's broad unlimited headline does not remove these conditions.

Separate one business from an agency arrangement

Several retained fair-use paragraphs require a separate account for each business or client. The Email Marketing paragraph separately permits multiple-business or agency use subject to its own fair-use conditions. Neither statement should be expanded into a rule for every Pabbly product.

The affiliate account lists Connect Agency separately from ordinary Connect, but that label alone does not establish its features, price or client-account rights. For Connect Agency sub-accounts, the retained terms say assigned task settings cannot be changed in the described ways and sub-account email addresses cannot be updated. Confirm the intended client ownership and assignment before committing to that structure.

If your work spans multiple clients, write down the required products, account owners, access and usage for each client. Compare that arrangement with keeping existing client-owned tools. This guide does not recommend sharing one ordinary account across clients contrary to the selected product's terms.

Pabbly’s Agency page, observed November 5, 2026, describes allocating tasks to separate registered client accounts, with a minimum assignment of 10,000 tasks per account. It says its task calculation counts action steps and excludes triggers and the specific Filter, Router and Formatter steps. These are supplier descriptions of Agency, not tested controls or entitlements for ordinary Connect plans.

The Agency documentation displayed as updated October 19, 2026 says assignments renew on the first of each month and revoked tasks return to the main account on the first of the following month. It allows increases to assigned counts and describes revoking and reassigning to reduce them. The sub-account guide displayed as updated August 4, 2026 instead says assigned counts and task types cannot be changed by the agency owner. The retained general terms separately restrict supplier-side changes to assigned tasks and changes to sub-account email addresses. These sources do not establish which account model applies to every plan; confirm that before relying on modification or reassignment.

The retained pages do not establish unused-task rollover or expiry, legal account transfer, workflow portability, or client access after agency nonpayment. Monthly renewal and next-month return do not prove an immediate return, a rollover rule or permanent client access.

Keep the suite and payment term separate

The retained records distinguish recurring and one-time Connect, Chatflow and Subscription Billing routes, plus separate Agency, homepage, signup and campaign destinations. They are not interchangeable plan selections.

The November 2026 campaign describes Pabbly Plus as an annual subscription and distinguishes it from separately advertised one-time plans. Do not read a one-time product label as a lifetime suite entitlement, or an annual suite price as the cost of every individual product.

Before paying, confirm the exact product, included modules, currency, billing term, renewal treatment, applicable usage limits and refund exclusions on the selected purchase. The retained campaign FAQ offers a refund-request window, while the terms contain product/use-specific exclusions; this guide does not promise an unconditional refund. It publishes no active price, countdown, coupon or special-offer claim.

Keep an adequate existing tool when it meets the job. A bundle makes sense only if its included products and limits match requirements you actually have.

Plan for records and account closure before you need them

The retained customer-data section makes the customer responsible for exporting data before expiration or termination and describes a limited post-termination retention period. It separately says Connect data and reports older than 30 days are removed, and Email Verification reports older than 15 days are removed. Those are product-specific statements, not a complete export specification.

Chatflow requires particular care: one retained clause describes data deletion after 30 days, while another describes 60-day message retention and contacts retained until manual deletion. Do not rely on a single uniform retention promise from these conflicting statements. Confirm which records and policy apply to your actual account.

List the records you need, the available export method, the required date range and who can retrieve them. Check that the exported files contain the information you need before removing access or cancelling. Workflow definitions, run reports, contacts and messages may have different requirements; the retained evidence does not establish a complete export covering them all. Do not assume a subscription payment preserves an indefinite audit history or that a successfully saved file proves a working recovery.

Questions before choosing

Is Plus a one-time purchase? The retained November campaign identifies Plus as annual. Separately supplied one-time product destinations do not change that distinction. Confirm the actual product and term before paying.

Does unlimited mean I can ignore usage limits? No. The retained policy describes product-specific starting allowances, resets, account charge groups and other limits. Confirm that policy's applicability to the selected plan.

Can one account serve every client? Do not assume so. Several product provisions require one-business accounts; Email Marketing has a separately worded agency provision, and Connect Agency is a distinct supplied destination.

Has MailboxCompare tested the spreadsheet-to-contact workflow? No. The example is based on a dated supplier tutorial and source review. It does not establish your permissions, error handling, plan eligibility or successful operation.

Where should I start? Write down one required outcome, the applications and accounts involved, the volume and records you must retain. Compare a suitable manual or existing-tool approach before deciding that a paid arrangement is necessary.

Plan account ownership and the handoff before removing access or relying on an untested workflow.
