Edit and share client documents without passing copies around with ONLYOFFICE

onlyoffice.com

ONLYOFFICE offers cloud tools for working on documents with other people. Start with the job: a ready-to-use document workspace, or hosted editors for an existing platform. Choose access and sharing roles before paying for a larger plan.

Choose the cloud product that fits

DocSpace Cloud

A room-based workspace for inviting people and collaborating on documents. Check which room types and permissions fit your files.

Not sure whether the remaining job is editing, review, signatures or keeping records? Build a document-workflow action plan before comparing another service.

Docs Cloud

Hosted online editors for use with a compatible document platform. Confirm the integration, connection and licence requirements before purchase.

Local editing only

Check the ordinary free Desktop Editors option when you do not need a paid cloud workspace. A local editor can be enough when cloud sharing is unnecessary.

Compare admins with the people you invite

Check the exact cloud product, billing period, paid-admin count and room/storage limits before paying. Check Docs Cloud integration and licence requirements separately; do not transfer a workspace’s admin price to hosted editors.

A short client-file handoff

  1. Choose one example document and the people who should edit or view it.
  2. Check room access and the selected product's current limits.
  3. Have the intended collaborator confirm access before moving the rest of the workflow.

Who accepts changes into the agreed master?

In this hypothetical example, one owner asks two outside reviewers to assess one project brief. Name the starting version and the person who decides which suggestions become agreed wording.

  • Shared review: check whether each reviewer should comment, propose wording changes or edit directly. Confirm the exact product’s permissions and who can accept or reject changes. Do not treat a clean “Final” display as accepted wording.
  • Separate copies: send the same identified starting version, ask for clearly marked comments or changes, then reconcile each return against that version. Record conflicting suggestions instead of replacing the master with the latest attachment.

Keep an adequate existing editor and email/manual review process when it meets the job. Before comparing or combining files, preserve the starting file and unresolved review copies. Comments, suggested edits, accepted text, version history and exported copies are different records. Removing shared access must not be assumed to retract copies already delivered.

ONLYOFFICE review documentation and limits

DocSpace Custom-room documentation distinguishes editing, reviewing, commenting and viewing, including external-link roles. Its documented room link applies the selected permissions to all files in that room; do not assume the link is restricted to one file. Custom-room permissions.

The Document Editor guide says “Final” display does not accept changes. Review-only access differs from editing with tracking enabled; its reviewer cannot accept or reject changes. Review and acceptance.

The Compare guide says existing tracked changes in the original are accepted during comparison. Combine handles tracked changes from both versions differently. Check the selected command before reconciling unresolved proposals. Compare versus Combine.

These pages were read November 1, 2026 (UTC); no document or account was tested. Confirm the actual edition, hosting, room type, external access and selected-plan inclusion. These editor instructions do not establish every Cloud, Desktop or self-hosted capability, preserved history, export fidelity or secure-master protection. Existing paid-cloud scope and other source dates remain unchanged.

In this hypothetical example, six project documents need six editable final files and six readable final copies: 6 documents × 2 representations = 12 delivery items, not 12 documents, paid seats or new email inboxes. Agree what the recipient needs to keep, then check the selected service's export, history, ownership and access rules before ending access.

  • Final files: Confirm the required editable and readable formats and check that each delivered copy opens as intended. Two representations do not guarantee identical layout, links or metadata.
  • Review record: Decide whether an agreed decision log is enough or original comments and version history are required. Keep the requirement open while the necessary history is unverified.
  • Continued access: Name the continuing owner and destination, and confirm who can open the required deliverables afterward. Twelve months of availability is this example's requirement, not a provider retention promise.

This is a proposed buyer check, not a product test performed by MailboxCompare. Document editing does not establish that a recipient's signature or notarization requirements are met.

Before choosing a paid plan

Confirm the exact cloud product, billing period, admin count and any optional resources. Existing adequate office tools may already meet the need. Free desktop software, self-hosted licences and optional AI resources are separate choices.
