Does this document need a new signature?

Does the recipient need a new signature, or only the original paper? If the recipient accepts electronic signing, compare Signaturely’s signing workflow before choosing a plan. Keep an accepted existing signing method where it fits. A scan of signed paper is not a new signing request. Electronic signing does not notarize the document or establish that its original may be destroyed.

Paper and scans have separate deadlines

A saved scan does not preserve its original. A free paper-storage allowance does not promise permanent online access. Keep wanted paper and readable files separately.

Provider rules, clocks and paid holding
Check the rule for my selected product

No provider-specific digital-retention rule is established for this selection here. Check the selected product’s paper deadline, scan-access and closure terms. Existing plan facts are separate from a permanent-access promise.

Paid holding needs an inventory, not just a stay length

For a daily letter fee, add the days each actual letter is overdue. For an item-month or 30-day extension, establish the number of items and charged blocks, including rounding/minimums. A three-month stay alone supplies neither quantity. Packages may use weight-days, size or another rule; do not apply a letter fee.

The existing daily calculator below covers only its documented daily schedules. Other units remain unpriced there; use a dated quote or the applicable selected-plan comparison. Taxes, disposition, handling and unquoted postage remain separate. Deposits and prepaid balances fund charges; they are not a second expense.

Check copies before irreversible paper disposal

Confirm whether anyone still needs the original. Check that the local file opens and includes every wanted page and reverse side, then keep an appropriately private backup. Downloading does not itself forward, retain or dispose of paper. This site uses only your planning choices; do not upload your scans or sender identities here.

Look up the provider’s actual action meaning before Archive, Trash, shred or recycle. Do not assume a digital trash/recovery window restores paper or that a support retrieval attempt will succeed. Confirm final disposition, residual handling and access before closing.

Finish an orderly exit →

Ordinary-mail references; exact center, item and specialist terms still apply.

Scans, originals and valuable items

Receiving a check is different from depositing it. Cash, gifts, checks, cards and signed-for items require the exact operator’s acceptance, permissions and fees. Each letter or parcel can have its own storage clock.

Paper-mail questions →

Dates appear after you calculate. This does not order a shipment.

Illustrative item · not a provider allowance

A scan does not restart the paper clock.

Suppose an operator confirms day 21 as this original’s expiry. You ask for a scan on day 8 and request dispatch on day 18. Those are separate events.

  1. Day 1Letter arrives
  2. Day 8Scan requested; paper still needs a decision
  3. Day 18Dispatch requested; confirm completion
  4. Day 21Assumed, confirmed paper expiry

The three-day gap is not a delivery guarantee. Allow the actual processing and transit time; ask about an accepted extension if needed. A requested scan or shipment is not proof it is complete.

Before disposal: check whether the institution needs paper, open every wanted downloaded page and confirm the provider’s action meaning. A digital archive, trash folder or recovery period does not guarantee recovery of a destroyed original.

Compare storage avoided with the extra shipment

Hypothetical inventory: six wanted letters arrive on elapsed day 0 and six on day 30. Assume 30 free elapsed days, charging only after that window and ending on completed dispatch. Confirm the operator’s actual cutoff; this is not a provider allowance.

One completed dispatch

Send both batches on day 60. The first six letters are 30 days overdue; the second six are not overdue.

6 × 30 + 6 × 0 = 180 overdue letter-days

Two completed dispatches

Send the first batch on day 30 and the second on day 60. Each batch leaves at age 30.

6 × 0 + 6 × 0 = 0 overdue letter-days

Keep the fee units separate: all 12 letters leave under either schedule. Per-item handling may count 12 in both; per-shipment handling may count one versus two. Check the actual rate, minimum and other used charges. Two shipments do not automatically mean twice the postage.

No cost winner yet: compare postage for both earlier shipments together with postage for the one later shipment, plus any change in handling or other fees. A current daily storage rate would price the 180 avoided letter-days. With that rate or postage unknown, the saving remains unpriced. Item-month, package and paid-hold rules need their own units.

A request is not completed dispatch. Confirm when charging actually stops, allow processing time, and keep each original’s real deadline and accepted destination ahead of a cost saving. Scanning does not restart the paper clock; 60 elapsed days are not a two-calendar-month invoice.

Price the 180 overdue letter-days below, only if the selected provider has a verified daily per-letter rate. Check my dispatch dates. These fixed examples do not fill forms, change saved inputs or order shipments.

Which originals must leave before the rest can be batched?

Before waiting for a bigger bundle, check the earliest original's required receipt date. In this hypothetical example, processing takes 2 elapsed days, carrier transit 3 elapsed days and you reserve 1 extra elapsed day. These are planning assumptions, not provider or carrier promises.

Hypothetical request windows
Assume 2 elapsed days for processing, 3 for transit and 1 extra planning day. These are not service promises.

  1. 1 urgent original

Available day 0 · latest request day 4
    Required receipt: day 10

  2. 19 later originals

Available day 12 · latest request day 24
    Required receipt: day 30

No shared request date: day 12 is after day 4. Waiting for the later originals misses the urgent item’s request window under these assumptions. Splitting the requests can fit the dates mathematically; actual acceptance, handling, transit and storage deadlines still need confirmation. Extra handling and postage remain unpriced.

The later 19 items are not available until day 12, but the urgent item must be requested by day 4. There is no common request date for all 20 under these assumptions. One early shipment and one later shipment can fit the dates mathematically; confirm the actual service before using them. If all 20 were already available on day 0, one request by day 4 could fit both deadlines instead. Fewer shipments are not automatically the right objective.

Check actual acceptance/cutoffs, processing and transit calendars, receiver availability and each item's storage/disposal deadline. If any required input is unknown, the delivery outcome stays unresolved. The extra shipment's handling and postage remain unpriced. Use the existing dispatch planner; this example does not set dates or order anything.

Price already-held letters

Count only days beyond each letter’s free allowance. Four letters each held 15 extra days make 60 overdue letter-days. This calculator prices only a verified daily per-letter schedule. If that rate is not available for your selected plan, the charge stays unpriced; other units need the applicable comparison or a dated quote.

Destination and goods checks

Check provider, carrier, destination, goods and customs requirements. Broad international forwarding is not acceptance of every item or country.

A paper check needs a separate route

Contents scanning, sending the original to you and mailing it to a bank are different requests. A letter subtotal does not establish bank acceptance or cover every handling/postage charge.
