Included or suitable verification comes first
Before booking a paid notary, check the chosen provider’s accepted workflow. USPS permits a CMRA or authorized employee to witness the signature, or an appropriately commissioned US notary to acknowledge it, with physical or real-time audiovisual presence. That allowance does not prove every operator offers a free remote appointment. USPS CMRA rules and current Form 1583.
Routes to check in order
- An included accepted provider/CMRA witnessing or verification option.
- A suitable lower-cost integrated or local route accepted by the provider.
- A compatible paid notary after confirming signer location, forms, IDs and total charges.
USA2Me lists video identity verification without a notary as an option; its current fee remains unconfirmed. SBI’s online processing of an already notarized form is separate from the notary session. MailboxForwarding’s accepted charge and the selected Lexington operator’s route need confirmation.
Each personal adult needs a current separate form. Two forms do not automatically mean two sessions. Ask about additional signers, pages, witnesses and overseas access. Never submit IDs or forms to MailboxCompare. Paid providers such as NotaryLive, OneNotary and US Virtual Notary are alternatives to check for compatibility, not automatic requirements.
Two provider-specific processing and exit checks
| Check | Source-specific example |
|---|---|
| Form processing is separate from notarization | St. Brendan’s Isle lists no processing fee for online self-submission, or $25 per mailed/emailed form. Notarization is separate. SBI workflow |
| Residual mail needs accepted instructions | USA2Me’s public FAQ and terms differ about arrivals after closure. Update senders and empty wanted originals first; confirm the accepted option and charges. FAQ · Terms |
Signature required? Confirm the exact delivery service
Certified Mail and Restricted Delivery are different instructions. Confirm the carrier and restriction before relying on a mailbox to receive an important item.
- Identify
- Ask the sender for the carrier, exact service and any specific-recipient or adult-signature restriction.
- Confirm
- Ask the selected operator who may receive it and which current authorization is needed.
- Follow through
- Confirm notifications, access to the contents and how to get the original.
A delivery signature and your own reading are different events. For a legal notice or deadline, ask the issuing organization or a qualified adviser what applies.
Three confirmations before you close the old route
- Receiving is active
The new operator confirms authorization, names, issued address format and activation.
- Important senders have changed
Record each request, confirmation and first arrival privately; keep an appropriate overlap.
- Old mail and files are settled
Check exports, wanted originals, residual arrivals, final charges and closure instructions separately.
A paid start date or a submitted form alone does not complete these steps. Use the printable worksheet →
Activate, then switch senders
Keep overlap: update important senders directly and record requested, confirmed and first-arrival dates. Check both destinations and budget overlap. Use a private sender register.
Keep your mailbox authorization current
A long trip can outlast an ID or change your mailbox paperwork. Follow the operator’s current update process.
- ID expiring?
- Ask which replacement document is accepted and how to submit it.
- Required Form1583 information changed?
- Complete a new application using the operator’s current instructions. A temporary delivery stop is not automatically your residential address.
- Reverification requested?
- Use the operator’s verified submission route and keep its acceptance confirmation.
Keep IDs with the operator or its authorized verifier; MailboxCompare does not need them.
Leave with your files and wanted paper
Ordinary USPS change-of-address orders are not the mechanism for leaving a CMRA. Agency post-termination remailing obligations and exceptions apply, with new postage; this is not six months of free mailbox service. Provider agreements still determine fees and other handling. USPS DMM 508.
Checks stay in this page’s memory. They are not submitted or saved automatically.
Separate the address handoff from the cancel button
A new address, saved scan and forwarding request each need their own confirmation. One first arrival does not prove every sender has changed.
| Before this step | Keep private evidence of | Why it matters |
|---|---|---|
| Publish the new address | Activation, accepted names and the exact issued street/PMB format; sender request, confirmation and first arrival | Do not publish a generic sample box number or silently reuse an old tariff after an operator moves. |
| Ask to cancel | Downloaded files checked locally; wanted-original inventory; completed shipping/collection or written disposition | Dashboard access and pending requests can end when cancellation is requested, before the nominal end date. |
| End overlap | Accepted notice/effective date, renewal cutoff and residual-mail instruction/funding; remaining balance treatment | The mailbox subscription, late-arriving mail and any separate office or registered-agent product are different obligations. |
Two current closeout traps worth checking
Mailbox Forwarding’s terms end login and pending requests on termination; residual forwarding must be elected and funded. Anytime terms can make an account inactive when written cancellation arrives. Finish exports and physical requests first.
Stable’s terms default to no remailing after termination unless contrary written agreement is reached. LegalZoom’s current terms require direct sender updates and separately paid requested residual handling; older help describes a different access option. Get the applicable plan’s written closeout terms. This is not a guaranteed grace period or six months of free service.

Plan the dates and remaining charges
Prepare my chosen mailboxProvider source dates and selected-location qualifications remain with the facts. Postal and linked policy guidance checked October 19, 2026; editorial consolidation does not advance provider review dates.
Approve the names and the people acting for them
Before activation, separate personal adult authorization, parent/guardian handling for minors, business officer signing, authorized pickup and online account permissions. Confirm mixed personal/business and trading-name documents with the exact operator; one combined name count cannot establish a form or notarization total.
Why confirm authorization before redirecting mail?
A June 2025 USPS Inspector General audit found gaps in CMRA oversight records; USPS management disputed parts of the findings. It reviewed postal oversight, not specific providers’ service quality. Our practical takeaway: confirm the operator has accepted each required recipient’s authorization before changing important senders.
