Software purchase analysis
Will this tool reduce spending or create more capacity?
Compare future cash paid with hours by actor. A lower advertised fee and time released answer different questions. This twelve-month USD/CAD model uses fictional planning assumptions, not a provider quote, accounting expense, payroll finding or guaranteed return.
Use only status and quantity inputs. Do not enter names, contracts, payroll or banking data. Choices stay in this page while it is open; nothing is stored or sent by this tool.
Capacity and cash remain separate
Hypothetical forecast, not realized savings.
Cash paid: twelve-month horizon
- Keep option
- USD 0.00
- Change option
- USD 480.00
- Incremental cash: change minus keep
- USD 480.00
- Known changed-option fixed portion
- USD 480.00
- Beyond-horizon commitment entered
- USD 0.00
Negative incremental cash means less modeled cash; zero is neutral. Known portions are not a complete quote.
Capacity by actor
owner: 12.00 gross hours released. 6.00 net owner hours after setup.
Owner implementation: 6 hours consumed. Owner hours are not a dollar saving.
Conditional workload test
not cash releasing. No positive workload threshold displayed.
This assumes one stable workflow and permitted spending reduction. It is not a product promise, purchase recommendation or payback date.
Payment timing
Payment timing unknown or analysis held. Monthly and cumulative cash, maximum cash need and payback date are withheld. Effective work months are not payment dates.
- Forecast inputs: hypothetical or pilot interpretation only; no realized savings.
- No double counting: avoided contractor payments are included once; owner hours are not monetized.
Keep an adequate existing, free or manual workflow. If there is a real gap, check fit and measure a small non-sensitive sample before comparing a purchase.
Three fictional worked decisions
Fictional case 1: Fixed-pay owner capacity
Twenty eligible units/month, eight to five minutes each, twelve effective months; six owner setup hours. Cash: 240 subscription + 120 setup + 60 overlap + 60 exit = USD 480. All amounts assumed inside the horizon; only exit is assigned month 12.

Fictional case 2: Permitted contractor reduction
Sixty eligible units/month at eight to five minutes, USD 30/hour; reduction permitted for months 3–12. Keep: USD 2,880. Change contractor: USD 1,980 + USD 480 new cash = USD 2,460. Thirty contractor hours are not counted again as a second benefit. Six owner setup hours stay separate. Payment dates remain unspecified.
Conditional lower-cash candidate
Hypothetical forecast, not realized savings.
Cash paid: twelve-month horizon
- Keep option
- USD 2880.00
- Change option
- USD 2460.00
- Incremental cash: change minus keep
- USD -420.00
- Known changed-option fixed portion
- USD 480.00
- Beyond-horizon commitment entered
- USD 0.00
Negative incremental cash means less modeled cash; zero is neutral. Known portions are not a complete quote.
Capacity by actor
contractor: 30.00 gross hours released.
Owner implementation: 6 hours consumed; owner net capacity -6 hours. Owner hours are not a dollar saving.
Conditional workload test
positive workload threshold. 32 eligible units per month is the equality cost group; first whole volume strictly reducing cash: 33.
This assumes one stable workflow and permitted spending reduction. It is not a product promise, purchase recommendation or payback date.

Fictional case 3: Known quote, missing fit and costs
A USD 240 quote portion does not establish required fit or unpriced migration and exit. Past prepaid money is not a new saving, and no refund is invented.

- Required cost unpriced: External setup.
- Required cost unpriced: Exit.
- Required fit is unknown.
- Confirm a specific spending line, rate and permission to reduce payment.
- Forecast inputs: hypothetical or pilot interpretation only; no realized savings.
- Current workload unknown; a separately supported threshold can remain.
- No double counting: avoided contractor payments are included once; owner hours are not monetized.
Keep an adequate existing, free or manual workflow. If there is a real gap, check fit and measure a small non-sensitive sample before comparing a purchase.
Check the job before the purchase
Adequate current, free and manual tools remain valid choices. A failed requirement or unpriced required cost prevents a purchase winner. Forecast time improvements need a small observation exercise; this tool does not verify a vendor or reduce anyone’s payment.
Backup automation: check the recoverable work first
In this hypothetical example, an owner considers automating backups for a website with files and an inquiry database. SimpleBackups documents scheduled database backups and engine-specific restoration using dump files. That does not establish coverage of this website, its configuration or every required recovery step.
| Work in the example | Before entering a time reduction |
|---|---|
| Creating the required copies | Confirm the exact files, database, schedule and usable recovery points. Keep adequate existing host backups or exports. |
| Reviewing and restoring | Keep the responsible operator, exception review and recovery checks in the changed workflow. A successful-backup message is not a tested restore. |
| Changing a payment | Identify whose work changes and whether a specific payment can actually decrease. Owner time released is not automatically cash saved. |
If the required database is unconfirmed, keep workflow fit unknown even when the files backup is supported. If an existing arrangement already meets the requirement, keep it. Unknown storage, transfer, setup or exit charges remain unpriced; do not enter zero merely to complete the comparison.
Read the SimpleBackups recovery-requirements guide. Confirm the selected system, plan, permissions, storage region and recovery procedure. This is educational navigation, not a purchase action or a claim of tested compatibility.
Educational next steps: check editing, review, signing and retention needs; check continuing website control; read the invoicing-workflow guide. These links are guides and tools, not purchase buttons.
Method and source limits
The model distinguishes incremental future cash, actor-specific capacity and permission to realize a spending reduction. It does not calculate tax, investment return, recognized expense or inferred future revenue. No product prices, plan entitlements or source approvals are entered or renewed here.
Conceptual background observed November 2, 2026: the UK Digital, Data and Technology Playbook discusses whole-life costs, and the Government Efficiency Framework separates cash-releasing from non-cash capacity benefits. These are background principles, not rules imposed on a small business or an endorsement.
